In the last 4 months, I’ve been busy setting up an ERP for the retail store. Now it’s finally come to finalize settings and live implementation.

As we know it, nowadays for the retail industry is impossible to count on only for offline store and website. Marketplaces are growing so fast with their capital money for insane promotion. So we must have a single database for the offline, website, and also marketplaces.

Here in Indonesia, we have 3 top marketplaces: Tokopedia, Shopee, and Lazada, so we have to make all the 3 to connect to our store ERP database.

Here is the connection

ERP online database >>> using API >>> connect to Ecommerce Store Website >>> using Website API >>> connect to Marketplaces.

So website sync products, stock qty, images, weight from ERP online database, also send order from the website and updated it to ERP database.

Meanwhile for marketplaces, from the website we make plugins to connect to markeplaces api to uploads websites data such as products, qty, category, images, weight, etc. And also gather orders and sales from the marketplace to the website so it can be updated to the ERP database.

So many connections here but I think it inevitable nowadays if we want still competitive in this online business. And we won’t stop here, because we will continue to social media commerce connection too, so we easily sell on Whatsapp, Facebook, and Instagram.

What a project, love it.

On my other website which is had quite high traffic with 47.000++ members, i used several layers of cache to handle traffic spikes. My software specs are running on WordPress 5.5, PHP 7.4.5, MariaDB 10.5.5, Centos 7 with Sentora Panel, Apache Web Server and PHP-FPM Server for PHP Handler.

1. Opcache, first thing first, this module of PHP must be installed on your system. Setting it up based on your web’s need, mine is 256MB for it’s memory
2. Memcached, if you want to survive from high traffic spikes you have to install this memory object cache on your server. I used 4GB for it’s memory shared. Works like magic
3. Mod_pagespeed, one of apache’s module that really help me to optimized my website. This module rewrites css, js and images, combine it, inlining it on the fly while users access your web, and it also cache all those static contents in your disk or even in your ram using memcached integration, so next pageload become super fast. Mod_pagespeed is all in one and the next level of web’s optimization
4. Cloudflare CDN, in terms of cache, cloudflare’s free service helps me with storing static contents from pagespeed optimization so it reduce server load really significant. Beside that cloudflare comes with so many tools like free SSL/TLS, protection from DDos, and even can optimize your web on the fly, but i don’t use it because i already had mod_pagespeed.
5. Browser leverage cache, the last cache you can count on, set it up on .htaccess file so repeat visitors fetch you web’s content from their browser instead from your server, it helps reduce your server load too.

With all those cache layers on your server will help you reduce server cost. I only use shared VPS with 6 cores CPU and 16 GB RAM, and server load at most 1.xx when it’s on high visitors time.

Content marketing memegang peran kunci dalam digital promotion saat ini. Dimana dengan semakin banyaknya content yang menarik ditampilkan oleh semua pemain bisnis, maka sangat penting untuk kita menampilkan content yang bukan hanya menarik tetapi juga konsisten dan memberikan value pada calon customer.

Hal ini berguna untuk meningkatkan follower organik, engagement dan menampilkan wajah brand yang baik di Instagram.

1. Infographic Product, untuk postingan ini sebaiknya maksimal 3 product satu hari yang dibagi per kategori barang
2. Promotion, promosi yang sedang berjalan di offline maupun online
3. Trivia, memberikan info, tips atau pertanyaan yang mengundang partisipasi audience
4. Inspirational quotes
5. Giveaway, memberikan program giveaway mingguan untuk menarik new customers and followers
6. Endorse, bekerjasama dengan influencers yang sesuai dengan brand untuk membuat content yang menarik

Jenis-jenis postingan tersebut kemudian kita spread dalam jadwal mingguan secara konsisten sehingga akan memberikan efek positif yang diinginkan dalam engagement maupun new followers, dan kemudian akan meningkatkan penjualan maupun loyal customers.

 

Jika bisnis kita butuh analisa mengenai customer database and behaviour, memerlukan membership program dan memiliki budget untuk investasi di IT dan online promotion, maka website ecommerce adalah pilihan tepat untuk dikembangkan.

Sedangkan untuk marketplace sendiri sekarang telah menyediakan channel premium store untuk branding dengan sistem bagi hasil.

Jadi kesimpulannya kedua channel sales ecommerce dan marketplace sebaiknya dijalankan secara optimal dengan memanfaatkan advantages masing-masing.

Di masa The Great Shifting seperti sekarang, dimana dengan adanya pandemi covid19 semakin memberikan akselerasi terhadap prosesnya, maka retail dituntut untuk membangun sistem integrasi dari beberapa channel sales yang mereka punya.

Integrasi multichannel sales (Omnichannel)  ini memungkinkan proses marketing saling support satu sama lain sehingga menjadi lebih efisien.

Omnichannel tentu saja membutuhkan investasi dalam infrastruktur sistem IT untuk mendukung integrasi data, dan dengan teknologi yang berkembang sekarang ini investasi IT dalam infrastruktur fisik dapat diminimalisir dengan cloud computing yang membuat sistem sangat scalable.

Business process integrasi omnichannel di atas menunjukkan bahwa proses marketing beberapa channel disatukan dalam satu online system web based yang saling mendukung.

Best practice nya adalah menjadikan single stock availability untuk across channel, dimana masing-masing channel mempunyai policy masing-masing dalam proses penjualan barang. Channel offline dapat disetting sedang promosi diskon 10%, dimana disaat bersamaan channel B2B mempunyai diskon 20% dan channel online stores sedang dalam harga normal.

Begitupun dengan promosi, channel online dapat melakukan promosi dimana customer memiliki experience dalam membeli barang online dimana saja dan dapat melakukan pick up barang di offline stores.

Hasil akhirnya tentu saja omnichannel integrate system dapat memperluas opportunity sales, meningkatkan customer experiences, efisiensi biaya promosi, dan menyediakan real time data business intelligence yang sangat berguna dalam pengambilan keputusan management.

Warehouse management yang efektif memiliki beberapa tujuan yang terukur, di antaranya sebagai berikut :

• Mampu menunjukkan inventory yang akurat.

Dalam proses akurasi inventory yang baik (di atas 95%) maka tools yang dibutuhkan antara lain :

1. Evaluasi SOP flow barang mulai dari proses penerimaan, penyimpanan dan pengiriman
2. Sistem Stock Opname yang optimal sehingga mampu menunjukkan evaluasi terhadap keakuratan inventory

Hasil akhir dari keakuratan data inventory adalah dapat daindalkannya data dalam menunjang proses berikutnya yaitu inventory control yang optimal.

• Mampu melaksanakan praktek Inventory Control yang optimal dan efisien

Tujuan berikutnya dalam warehouse management yang baik adalah mampu melakukan Inventory Control yang efisien dalam hal biaya maupun waktu.

Beberapa tools yang dapat digunakan dalam mencapai Inventory Control yang optimal antara lain :

1. Budgeting purchasing dan pricing strategy yang tepat. Tools ini menjadi penting karena sebagian besar komponen cashflow budget perusahaan ada pada bagian purchasing barang, sehingga mengontrol pembelian dengan menyusun budgeting dan pricing strategy termasuk di dalamnya adalah target margin optimal, akan memastikan bahwa cashflow perusahaan tetap sehat, dalam artian digunakan secara tepat dan efisien.
2. Sales figure. Tools ini akan memastikan record dari seluruh barang dagangan mulai dari umur barang sejak masuk warehouse, analisa penjualan, analisa margin, dan analisa stock sales ratio (SSR), akan secara efektif digunakan bersama dengan tools budgeting dalam mengatur perputaran barang keseluruhan memenuhi kebutuhan penjualan dan maksimalisasi stock. Pada akhirnya tools ini akan menghasilkan tingkat perputaran stock (Stock Sales Ratio) yang optimal tergantung jenis bisnis, sehingga menghindarkan overstock dan dead stock serta meningkatkan penjualan karena stock availability yang baik terutama untuk barang-barang fast moving.

• Mampu melaksanakan praktek distribusi yang efektif dan efisien

Dalam praktek warehouse management yang baik mempunyai target penting berikutnya yang tidak dapat dipisahkan dari tujuan-tujuan sebelumnya yaitu keakuratan data dan inventory control yang optimal. Target tersebut adalah distribusi barang yang efektif dan efisien.

Untuk mencapai target distribusi barang yang efektif dan efisien makan diperlukan tools sebagai berikut :

1. Distribution master planning. Tools ini disusun berdasarkan data-data history akurat dari persediaan barang dan penjualan real time minimal satu tahun ke belakang yang disesuaikan dengan forecasting dan target penjualan dalam satu tahun berikutnya. Dengan adanya distribution master planning makan diharapkan pembagian barang untuk masing-masing channel penjualan ataupun beberapa toko dapat optimal dalam artian meminimalisir slow moving bahkan dead moving di salah satu toko dan pada akhirnya dapat menghemat biaya operasional warehouse.
2. Lead time distribution and retur counter. Perhitungan lead time warehouse untuk proses penerimaan, penyimpanan hingga pengiriman akan menyediakan data berguna dalam evaluasi mulai dari SOP, teknik penyimpanan, hingga zoning penyimpanan. Sehingga pada akhirnya dapat dicapai efisiensi dan optimalisasi waktu dalam proses distribusi. Keuntungan lainnya juga dengan evaluasi ini dapat dicapai pengurangan bad stock yang diakibatkan proses distribusi yang kurang efektif sehingga akan secara signifikan mengurangi storing cost barang.
3. Error handling counter. Sistem ini akan mencatat kesalahan-kesalahan yang terjadi berulang dalam proses distribusi barang yang dicatat per orang dan per bagian. Data ini berguna dalam hal pengembangan dan pembinaan SDM yang dapat diintegrasikan dengan sistem KPI maupun BSC sehingga dapat dilakukan pembinaan maupun penindakan berdasarkan data yang akurat.

• Mampu membangun sistem automation warehouse management

Dengan kombinasi data akurasi, sistem inventory control optimal dan distribusi management yang efisien makan dapat dibangun sistem otomasi warehouse management dimana semua data akan terhubung dan saling support.

I just need to write it down, so just in case we need to move the VPS again I can call it out. Here are the steps :

1. Find another cheaper and reliable VPS. Found it in Germany VPS provider, contabo.com . Surprisingly affordable and reliable. My choice goes to VPS SSD size M which is only 8.99 EUR per month, with more than enough specs. Just check their web for prices and specs
2. Backed up my old files and databases in my old VPS
3. Setup my new VPS with clean install OS (contabo provided it just pick it up on the list), minimum requirement, Centos 7 64bit.

5. Because sentora comes with outdated PHP, Mysql, and Modules, so we need to upgrade them one by one. However I love Sentora, it was like CP for dummies, which is I am, just can’t move on to another CP yet.

8. The Important thing to do before PHP upgrade is to disable PHP-Suhosin extension. Use yum remove php-suhosin, otherwise just commented at php-suhosin conf file at /etc/php.d

10. So we now have updated PHP and MariaDB, is that all? unfortunately not. Sentora old modules like phpsysinfo and roundcube webmail won’t be running in our new system, so we will updating them also. We’ll take care of them later, first thing first. We need to set up domain and DNS in sentora. So easy, easiest control panel is sentora.
11. After domain and DNS all set up, then we prepare to copy the web backup file from the old directory VPS to new one using scp command via SSH. https://linuxize.com/post/how-to-use-scp-command-to-securely-transfer-files/ . And then we import our database using mysql -u username -p databasename < databasenamebackup.sql
12. Because i use WordPress as CMS and already activated SSL on my web so i have to revert it temporarily in wp-config file (by add define site ulr to http://) and deactivated the SSL plugin by renaming it.
13. Luckily i have set up Cloudflare as my CDN so it makes so much easier for migrating the website. Just deactivated SSL and change the IP Address pointing to new VPS and voila, it was running in an instant, no need to wait for propagation.
14. So we now have a fully running website but still not with an SSL connection. 16. We have a fully functional SSL website and now it’s time to fix Sentora’s old modules so it can running properly.
17. Updating Phpsysinfo, just copy the new release to it’s app directory at /etc/sentora/panel/etc/apps/phpsysinfo
